Product Supplier Import and Export

This guide shows you how to bulk update the supplier details linked to your products — things like cost price, lead time and supplier SKUs — by exporting them to a spreadsheet, editing the file, and importing it back into StoreFeeder.

Before you start

This exports and updates the link between a product and a supplier that already exists in StoreFeeder — it doesn't create suppliers, and it doesn't create products. You'll need:

The supplier already set up as a supplier record in StoreFeeder. See Creating a Supplier in StoreFeeder.
The products you're updating already added to StoreFeeder and assigned to a warehouse you have access to.

Two columns are required in the file you import: Manufacturer Name on every row, and one column headed exactly SKU, Product Id or Supplier SKUs so StoreFeeder knows which product each row belongs to. If you start from the file this feature exports, both are already there.

Step 1: Export your current product supplier data

Go to Products > Product Import Export and select the Export (Product Supplier) tab.

Use the Supplier dropdown to export data for one supplier only, or leave it set to All.
Tick Include Archived Products if you also want archived products included.
Tick the fields you want in the file, then click Export.

Note: The export downloads as an Excel (.xlsx) file. If you'd rather start from an empty file, use Export Blank Template instead.

Step 2: Update the values in the file

Edit the file in a spreadsheet program. Don't rename or remove the column headers — StoreFeeder matches every column, including the key field described below, by its exact header name when you import.

Field	What it is
SKU	The product's SKU. Can be used as the key field to match rows on import.
Product Id	The product's internal StoreFeeder ID. Can be used as the key field to match rows on import.
Supplier SKUs	The SKU your supplier uses for this product. Can be used as the key field, but see the warning below.
Manufacturer Name	The supplier's name, exactly as it appears in StoreFeeder. Required on every row, whichever key field you use.
Display Order	Where this supplier appears in the product's supplier list. The first supplier is `1`, not `0`.
Cost Price	What this supplier charges for the product. There's no separate currency field — enter the value in the currency you already use for this supplier.
Stock Levels	The supplier's stock level for this product.
Lead Time	How many days this supplier takes to fulfil an order.
Supplier Carton Qty	How many units this supplier packs per carton.
Minimum Unit Order Quantity	The smallest quantity this supplier will accept on a purchase order.
Unit Of Measurement	The unit this supplier's stock levels and carton quantities are measured in.
Carton Barcode	The barcode printed on this supplier's cartons.
Purchase Order Item Delivery Cost	The delivery cost this supplier charges per unit on a purchase order.
Drop Shipment Item Delivery Cost	The delivery cost this supplier charges per unit on a drop shipment.
Created On	Read-only. Leave this column as it is — StoreFeeder ignores it on import.

Updating Cost Price for a product also updates that product's average cost price in StoreFeeder.

Choosing the right key field

StoreFeeder uses one column in your file as the key field — the value it uses to work out which product-supplier link each row belongs to. Unlike other import screens in StoreFeeder, you don't pick this from a dropdown: StoreFeeder detects it automatically from your column headers. Head one column exactly SKU, Product Id or Supplier SKUs and StoreFeeder uses that column as the key.

SKU and Product Id can create a new product-supplier link if one doesn't already exist, as long as the product itself is already in StoreFeeder.
Supplier SKUs can only update a link that already exists.

Warning: It is not possible to create a new relation between Product and Supplier with Supplier SKUs as a Key Field. Only existing rows will be updated. If you're linking a supplier to a product for the first time, use SKU or Product Id instead.

Important: If none of your columns are headed exactly SKU, Product Id or Supplier SKUs, StoreFeeder has no key field to import against and the whole import fails. If you started from the exported file and haven't renamed the headers, this isn't something you need to think about.

Step 3: Import the updated file

Go to Products > Product Import Export and select the Import (Product Supplier) tab, then upload the file and click Import.

Note: StoreFeeder accepts .xlsx, .xls and .csv files for import. Large files aren't always processed straight away — if yours is, you'll see a message telling you it will be processed in the background and you will receive a message once it is complete.

Troubleshooting

The import fails with a generic error reference and no clear cause
Check that one of your columns is headed exactly SKU, Product Id or Supplier SKUs. Without one of these exact headers, StoreFeeder can't identify a key field and the import fails.

"The import file does not contain a column with the Manufacturer Name. Please add this column and try again."
Add a Manufacturer Name column with the supplier's name on every row, then re-upload the file.

"Manufacturer [name] not found"
The name in the Manufacturer Name column doesn't match an existing supplier for your account. Check the spelling against Products > Suppliers — StoreFeeder doesn't create suppliers from this import.

"No product found by SKU [value] for Account" / "No product found by ProductId [value] for Account"
The SKU or Product Id doesn't match a product you have access to. Check the product exists, isn't archived, and is assigned to one of your warehouses.

"There is more than one product manufacturer row with SupplierSku [value] for Account"
More than one product is linked to this supplier with the same Supplier SKU. Use SKU or Product Id as the key field instead, or make the Supplier SKUs unique for this supplier.

"Product Manufacturer row with SupplierSKUs [value] not found and cannot create new one as Key Field is not creatable"
You're importing with Supplier SKUs as the key field, but no existing link matches that value. Use SKU or Product Id as the key field to create the link, then switch back to Supplier SKUs for future updates.

"CostPrice: [value] is not valid decimal" (or a similar message for another field)
The value in that column isn't a number StoreFeeder can read. Remove any currency symbols, thousands separators or text from the cell and re-upload.
