This guide explains how to split an order that is waiting for part of its stock, so you can send the items you have now and keep the rest on a separate order until they're back in stock.
How splitting works
When some lines on an order have stock and others don't, StoreFeeder gives the order the status Pending (Waiting Part Stock) and it can't be picked. Splitting it out divides it into two orders:
- The original order keeps the lines that are in stock. Its status changes to Complete (Ready To Pick), so you can pick and despatch it straight away.
- A new order is created with the out of stock lines. Its status is Pending (Waiting All Stock), and it stays that way until stock arrives. It keeps the same channel, customer and shipping details as the original.
In the example below, the first three lines are allocated but the last line (20 rugby balls) has nothing allocated, so the order is waiting part stock.
Step 1: Find the orders waiting part stock
- Go to Orders > Manage orders and make sure the All tab is selected.
- Click the filter icon on the Status & date column.
- In Order status, select Pending (Waiting Part Stock).
- Click Apply.
Step 2: Select the orders and choose Split out of stock
- Tick the orders you want to split. You can select more than one.
- Click the … button at the right of the bar that shows how many orders are selected.
- Under Edit orders, click Split out of stock.
Step 3: Choose your options and confirm the split
StoreFeeder asks you to confirm the split. Before you confirm, choose any of these options:
- Split lines: if a line has some of its quantity in stock, StoreFeeder splits that line too. The original order keeps the quantity you can send, and the new order gets the remaining unfulfilled quantity. Leave this off to move part-stock lines to the new order in full.
- Re-evaluate packaging: StoreFeeder works out the package size again after the split, based on what's left on each order.
- Re-evaluate shipping: StoreFeeder works out the shipping method again after the split, based on what's left on each order.
Click Split out of stock order to confirm, or Not now to cancel.
Step 4: Check the split orders
When the split has worked, a green message confirms it and shows the number of the new order, for example Order 445450 split to create order 448627. Click the order numbers to open them, or click Show all split orders.
The original order is now Complete (Ready To Pick) and can be picked and despatched as normal. The new order waits as Pending (Waiting All Stock) until its stock arrives.
Troubleshooting
"This order cannot be split as it either has only one line, or is not in "Pending (Waiting Part Stock)" status"
The order either has a single line or isn't waiting part stock. Only orders with two or more lines and the status Pending (Waiting Part Stock) can be split. If you selected several orders, StoreFeeder lists the ones it couldn't split under The following orders cannot be split. The rest are still split.
"Orders can only be split when their status is "Pending (Waiting Part Stock)""
Filter the order list by Pending (Waiting Part Stock), as in Step 1, and select only those orders.
An order with no stock for any of its lines won't split
This is expected. Orders with the status Pending (Waiting All Stock) have nothing that can be sent yet, so there's nothing to split out.
The new order still shows the full quantity of a line that was partly in stock
Split lines was switched off, so the whole line moved to the new order. Switch it on next time if you want to send the quantity you do have.
