There are two sections to the function on the App.
1. Stock Take
As suggested, this function allows you to do a physical check of your stock.
Because of the clever way that the StoreFeeder Picking function on the app works, if you use the StoreFeeder App to pick your orders, stock checks can be carried out WITHOUT the need to stop your staff picking.
You can configure the type of stock take you wish to do using the drop down menus when creating the stock take
There are 9 types of stock check available in the system
a) System led
b) Pickwave stock problem
c) Best selling products
d) Manual search
e) System led (location)
f) System led (reverse)
g) Unsold products
h) Fast selling products
i) System led (date)
These are described below
a) System Led Stock Take
A system led stock take takes a user to a random stock location and a certain product within it.
b) Pickwave stock problem
When a picker raises an issue with the stock in a location while picking, this automatically creates a pickwave stock problem stock check so that you can quickly ensure that the stock is correct on the system in the location that has had a problem reported by the picker.
c) Best selling products
As the title suggests, this asks the user to do stock checks on the products that the highest sales based on the last 30 days.
d) Manual Search
With manual search stock take, the user decides what they are going to check. This could be all the different SKU's in one location, or all locations of one SKU. The user will need to select a location as well as the product for this type of stock check.
e) System led (location)
A system led (location) stock take takes a user to a random stock location for a stock take
f) System led (reverse)
System led (reverse) will randomly select locations and products to stock take, from the lowest ordered location (using stock location orders)
g) Unsold products
This will point users to stock check products that have not been ordered in the last 6 months
h) Fast selling products
Fast selling products stock check returns products to check based on recent order quantity over the last 7 days versus remaining stock, so items that are selling quickly at the time.
i) System led (date)
This type of check suggests products ordered by time since the last stock take was undertaken.
Other than that, whichever option you choose, the process is the same.
If you use our multiple stock locations add on, you are just checking the stock in the specified stock location, not the entire stock.
The user will be presented with the SKU and the location, no more. They will not be shown what the stock level should be in that location.
The user can either count the stock and enter the qty (or use "+" or "-" buttons), or scan individual items to increment the count.
Once the count is complete, the user should click "Submit". This will send the count to the StoreFeeder main system for approval.
2. Stock Take Approval
Once a stock check has been submitted from the app, all the submissions are shown on the Stock Approval page either on the app or in the main system.
In the main system, this is the process:
Warehouse > Stock Locations Overview > Stock Take Approval.
Here you will see details of the user, the SKU and the count compared to what the stock figure for that location was at the time of the check.
Rows highlighted in red, show that the counted stock was LESS than what the system had showing at the time the check was done. These should be treated as URGENT as you may have less stock than is showing for sale.
The person doing the Approval process can then choose to "Approve" or "Reject" the stock check.
Approving makes any necessary relative adjustments (+ or -) to the stock in that location.
Rejecting, ignores the stock check and the user should carry it out again.
All Stock Take Approvals are also recorded to show who approved them for traceability and transparency of stock checks. This Approval Report can be found in Reports > Products > Stock Take Approvals Report.
On the app, the process is as follows:
Here you will see the same details, and explaining what the stock check is showing. In the example below, user "StoreFeeder ABC" have checked the SKU "613377" in location "BULK 1"
They have reported during the check that they counted 159 units.
At the time, the system was showing 164, so there is a potential discrepancy of -5 units.
Clicking the green tick will approve the new count and adjust the stock in "BULK 1" by -5 units.
Clicking the red cross rejects the stock check and nothing is changed.
Again, the Stock Take Approvals are also recorded to show who approved them for traceability and transparency of stock checks. This Approval Report can be found in Reports > Products > Stock Take Approvals Report.
Page Features:
Once a stock take entry is submitted and validated, we record the time, date and user against each action.
Please Note: Only Admininistrator users can access the Stock Take Approvals page and validate stock checks.
Hints & Tips:
Again, carton barcodes work on the page, so you can scan any full cartons when counting.
